Arrival (In Office Services)
Please arrive for your appointment(s) 15 minutes prior to the scheduled start time. This allows you time to fill out any applicable client forms, change and prepare for services. All services offered have a specific time schedule and early allows for a relaxed and unhurried experience. If being late is inevitable, your service(s) maybe shortened to keep on schedule. However, you will still be responsible to pay the full service fee.
You will be asked to undress, to your level of comfort, in private and drape yourself with a sheet and blanket on the massage table. Proper draping will be used at all times, We will be undraping only that part of your body being massaged. We want your experience to be comfortable and relaxing. We encourage you to communicate any discomfort, distractions, or uneasiness as well as requesting more or less pressure to your therapist.
Refunds & Credits
If you pay upon booking your appointment and:
You cancel your appointment at least 24 hours in advance, than you will be issued a service credit for a future booking.
If you cancel your appointment less than 24 hours of scheduled appointment you WILL NOT be issued a credit nor refund (please see Cancellation Policy statement below.)
If the massage therapist cancels the appointment with less than 24 hours of your appointment, you will receive a full refund.
Cancellation Policy
In today’s hectic world unplanned issues come up for all of us. We recognize this fact, but respectfully request that you cancel your scheduled appointment online, or by phone a minimum of 24 hours in advance. That way I am given ample opportunity to re-book the appointment time. If you are unable to give me 24 hours advance notice, you may be charged a percentage, up to the full price of your massage, for the failure to cancel in the preferred time frame. This amount must be paid prior to your next scheduled appointment. Massage is my livelihood, and this time has been reserved for you; please respect that.
Severe Weather Cancellation Policy
When it comes to severe weather (if a Winter Storm Warning is announced), my 24-hour cancellation policy does not apply. Simply let me know that day that you would like to reschedule your appointment due to weather, and I will be happy to do so. I don’t want to see anyone risk getting into an accident and possibly harming themselves just to keep an appointment.
In most cases, the early notice will also help keep me from having to venture out into the nasty weather, myself!
If I have received a large number of cancellations for any particular day due to weather, and you have not cancelled yourself, you may receive a call from me asking to reschedule.
Late Arrivals
If you arrive late, your session may be shortened. Depending upon how late you arrive, I will then determine if there is enough time remaining to start a treatment. Regardless of the length of the treatment actually given, you will be responsible for the cost of the “full” session. Out of respect and consideration, please plan accordingly and be on time.
No-shows
Anyone who either forgets or consciously chooses to forgo their appointment for whatever reason will be considered a “no-show” 20 minutes after their scheduled time. They will be responsible for the cost of the “full” session, or, if the client is using a prepaid session or gift certificate, the certificate will be considered void and forfeited.
Sickness
If you are sick or contagious, please reschedule your appointment for another time. At least notice must be given prior to your scheduled appointment. If less than 24 hours is given you will be charged the full service fee. If you fail to show and/or do not call, you will be charged the full service fee. Cancellations due to circumstances beyond your control (serious last minute illness/injury, child sickness, etc) will be handles on a case to case basis by you therapist.
Right to Refusal
Under certain medical conditions, massage/bodywork may not be advised, for example when a fever is present, infection, skin rashes, other illness or recent surgery. If a massage could be potentially harmful to a client’s condition, I have the right to decline to do the massage. You must list all your known medical conditions and medical limitations on the intake form, and inform my therapist of any changes in your physical health. When booking a treatment; you agree that neither you, your heirs, assigns or legal representatives will sue or make any other claims of any kind whatsoever against Soulstice Wellness Center for any personal injury, property damage/loss, or wrongful death, whether caused by negligence or otherwise.
Payment
All sessions must be paid for at the end of the session. Valid forms of payment are: cash, check, credit cards, and gift certificates. Please present payment at the time of check out. A $30 fee will be assessed for all returned checks. Any therapist has the right to refuse any further checks from repeat offenders or practitioner.
No returns or refunds, unless verified by therapist
We do not bill insurance; however, we will provide you with a receipt which you may submit to your insurance company for reimbursement.
Gift Certificates
Gift certificates will be forfeited for cancellation of 24 hours or less. Cancellations due to circumstances beyond your control (family emergencies, cancelled child care, etc.) This will be handled on a case to case basis per therapist.
Confidentiality and Records
We are committed to protecting your privacy and confidentiality. No information is shared with the third parties without your expressed permission, unless when required by law.
Each therapist will maintain your intake form and subsequent intake forms for a maximum of 3 years following your last clinic visit, and that if you need these records for insurance claim, it is your responsibility to request the records before they are shredded.
No Substitute for Medical Care
Massage therapy has emerged as a healthcare modality in recent years. Several studies have shown massage therapy to produce therapeutic effects for stress reduction, pain relief, and many ailments. That being said, massage therapy is not a substitute for medical treatment.
Sexual Misconduct
Sexual misconduct is forbidden and will not be tolerated. Any illicit or sexually aggressive remarks, advances or gestures will result in the immediate termination of the session and the client will be liable for full payment of the scheduled appointment.
Boundaries
To maintain a healthy respect for each client and establish professional boundaries the following will apply for all massage therapists and their services:
You may choose to leave on as much clothing as needed for comfort.
You will always be modestly draped. Only the area being massaged will be undraped.
The breast and genital area WILL NOT be massaged under ANY circumstances. A professional distance will be maintained from these areas at all times.
You have the right to stop the massage at any time and feel free to leave. An explanation would be helpful, but not necessary if you feel uncomfortable sharing.
Please take the time to email us and explain at another time, so that we can better serve you.
Visitors may be present during the massage session at your request. (required for anyone under the age of 18)
Privacy
Your privacy is important to us. We will never give, sell, lease or otherwise disclose your personal information, period. Any information you give to Soulstice Wellness Center will be held with the utmost care and will not be used in any ways to which you have not consented.
Respect
Respect for the client-massage therapist at Soulstice is very important for us.
You, the client, should always be open and honest with your therapist at all times. Feed back about the session, such as: any situation that makes you uncomfortable, massage techniques that you may or may not like, any parts of your body you want avoided, etc. should be discussed; whether in person, an email or note. We want you to have the best experience and feedback helps us in making it a pleasant massage.
